Test a tool for a month before you commit
I never sign a full year of any software without living with it first. A short trial period, used properly, tells you far more than any demo or sales call ever will.
This matters because tools always look great in a pitch. The real test is whether your team still likes using it once the newness wears off and the daily grind sets in. A tool that feels smooth in week one can feel clunky by week three, once you hit the edge cases your actual work throws at it.
Treating a trial like a real test also protects you from sunk cost thinking later. If you have only spent a short stretch of time on something, walking away is easy. If you have already built a year of habits and data around it, walking away feels much harder, even when you should.
Try this today: before locking in a longer plan on any tool, set a short trial window on your calendar and write down three real tasks you will use it for during that time. Judge it only on how those go.
