A shared doc beats a new app for small teams

Not every process needs its own piece of software. A well organized shared document, split into clear sections with a simple checklist, can run a small process just as well as an app built specifically for it, especially while your team is still small.

This matters because software built for a process often assumes a team far bigger than yours, with roles and settings you will never need. A shared document skips all of that. It is flexible, everyone already knows how to open and edit it, and it costs nothing extra beyond what you already pay for basic office tools. My own rule of thumb is to reach for a shared document first and only bring in software once it actually breaks under real use.

The document approach has a ceiling. Once a process needs automatic reminders, multiple people editing at once without conflict, or a real audit trail, it is time to graduate to dedicated software.
