The inbox system that replaces an assistant

A lot of owners picture hiring an assistant mainly to deal with their inbox. Before you do, look at how much of that inbox work is really sorting: figuring out what is urgent, what can wait, and what needs to be filed away and forgotten. That sorting step is exactly the kind of repeatable task a simple system can carry for you.

This matters because most inbox pain is not about answering messages, it is about deciding what deserves your attention in the first place. A basic set of rules that flags certain senders, certain words, or certain types of requests can do that sorting quietly in the background, leaving you with a shorter, cleaner list to actually respond to yourself. I sort my own inbox this way now, and the shorter list left over is the only part that actually needs me. That alone can remove a surprising share of the reason you thought you needed help.

Try this today: write down the three or four categories your messages usually fall into, then set up simple rules that sort incoming messages into those categories automatically before you even open your inbox.
