Make sure you can get your data back out

Before I trust any tool with real business information, I check one thing first: can I export everything back out in a plain format if I ever need to leave. If the answer is no, or the export is a mess, that is a serious warning sign.

This matters because tools change pricing, change owners, and sometimes just shut down. If your customer list, your notes, or your records are locked inside a tool with no clean way out, you are not really in control of your own information anymore, the software is. I have seen businesses stuck paying for a tool they hated simply because pulling their history out looked too painful to attempt.

A tool that makes leaving easy earns more trust from me, not less. It tells me they are confident enough in their product that they do not need to trap customers to keep them.

Try this today: pick one important tool and actually try exporting your data from it. If it is difficult or incomplete, flag that as a real risk, not just an inconvenience.
