One place for client files beats a scattered inbox
When client files live across email attachments, text messages, and random shared folders, finding anything later becomes a small investigation. A single shared space for documents, whether that's a folder, a portal, or a simple shared drive, saves both of you from that hunt every time something is needed.
This matters most during onboarding, when the volume of back-and-forth is highest. I keep every client's files in exactly one place myself, and it has saved me more searching than I would like to admit. Contracts, identification, reference material — all of it arrives in a short window, and if it isn't landing in one place, some of it will get lost or quietly forgotten by both sides.
Set the expectation early. Tell new clients exactly where files go and stick to that one location yourself, even when it would be faster in the moment to just accept an email attachment instead.
