When a spreadsheet is still the right tool

Before I add a new tool to my stack, I ask a plain question: could a shared sheet handle this instead. A sheet with a few tabs can track leads, log expenses, or manage a small project just as well as software built for it, especially when only a couple of people touch it.

This matters because every new tool adds a login, a bill, and something else to maintain. A sheet is cheap, flexible, and everyone already knows how to use it. I save the dedicated software for jobs that truly need automation, several people working at once, or a connection to other systems. Until then, a sheet with clear columns and simple color coding gets the job done without the extra weight.

The real skill is knowing when you have outgrown it. If you are copying data between tabs by hand, or small mistakes keep slipping through, that is your sign to upgrade to something built for the job.
